This guide walks you through what you can do with Accountable if you're mainly interested in creating and sending invoices, especially via Peppol, the European e-invoicing network. If you want to be ready for future e-invoicing rules, here's everything you need to know.

1. Peppol in a nutshell

Peppol (Pan-European Public Procurement Online) is a secure network that lets businesses send and receive structured e-invoices in a standardized format.

In Belgium:

  • Peppol is already mandatory for invoices to public sector clients.

  • Starting in 2026, it will become mandatory for B2B invoicing between Belgian companies.

Peppol is not an email or a PDF, it’s a machine-readable document sent through a certified access point. Using Peppol helps ensure:

  • Legal compliance

  • Faster processing

  • Fewer errors or disputes

2. How to activate Peppol in Accountable

Accountable is a certified Peppol access point, which means you can send and receive Peppol invoices directly from the app, without any third-party tools.

However, there are a few steps you need to take:

You need to verify your identity and confirm your company details. This is a legal requirement to prevent fraud on the Peppol network.

In Accountable, go to More > Settings > Peppol and follow the steps:

  • Fill in your enterprise number (if not already provided)

  • Upload a valid proof of identity (eID or passport)

  • Wait for confirmation

Once verified, your business is officially registered on the Peppol network.

Did you know that since Accountable is a certified Peppol access point, your subscription fee is 120% deductible ? It will be the case until end of 2027.

3. Sending an invoice via Peppol

Once your registration is approved, sending a Peppol invoice works almost the same way as sending a regular invoice ⏬

  1. Create an invoice as usual in Accountable

  2. Select a client that has a known Peppol address

  3. Accountable will automatically detect if this client can receive Peppol invoices

  4. Choose “Send via Peppol” instead of email or PDF

  5. The invoice is sent directly to their accounting system through the network

3a. Sending imported invoices via Peppol

If you already have invoices in PDF form, you can also import them into Accountable and send them via Peppol. Here’s how it works:

  1. Go to Revenue in your Accountable app.

  2. Click Import invoice to bring in your own invoice file (PDF).

  3. Fill in the required details (client, amounts, invoice date, etc.), then mark the invoice as "Not sent”.

  4. When you are ready, choose “Save and prepare to send” and then make sure "Send the invoice via Peppol" is selected.

  5. Please ensure your client is registered on the Peppol network, or else the Peppol option won’t work.

This allows you to continue using your existing invoices, even if they weren’t created within Accountable, while still benefiting from Peppol delivery.

More details here.

4. Receiving an invoice via Peppol

Once your business is registered, you can also receive structured e-invoices from suppliers that use Peppol.

How it works in Accountable:

  • The supplier sends the invoice through the Peppol network using your registered enterprise number

  • The invoice arrives directly in Accountable and is added to your expenses. A small Peppol logo will be added next to your invoice.

  • You receive a notification by email informing you you got an invoice through Peppol.

This removes the need to forward emails or scan PDFs, and the invoice data is already structured, making it easier to process or export.

5. What you can do with Accountable’s invoicing tools

Even if you’re not using Accountable for bookkeeping or taxes, the invoicing features are designed to be simple and complete:

  • Create and send professional invoices

  • Fully customize layout (logo, notes, terms and conditions)

  • Send invoices via email, Peppol, or PDF download

  • Track payment status and send reminders

  • Issue credit notes when needed

  • Automate recurring invoices

  • Work in multiple languages and currencies

You can also export your invoices easily for your accountant, or download them in bulk when needed.

6. Don’t forget to explore the rest of Accountable

You can start with invoicing only. But if you're curious, Accountable also lets you:

  • Connect your bank account to track payments

  • Scan and manage business expenses

  • Follow up on your VAT and tax situation in real time

  • Prepare and submit your VAT returns

  • Export all your data or collaborate with your accountant

You can enable these features whenever you’re ready, no obligation.

7. Which plan do you need for invoicing via Peppol?

You can choose the right Accountable plan based on your VAT status and invoicing needs:

  • The Free plan already includes access to Peppol. You can send unlimited invoices via Peppol, directly from the mobile app. However, this plan doesn’t give access to the web version or to features like exporting invoices in bulk or generating your VAT return.

  • If you are subject to VAT, you’ll need the Pro plan. It includes all invoicing features, web access, tax tracking, and VAT return preparation.

  • If you are exempted from VAT (e.g., under the VAT exemption/franchise scheme), the Grow plan is usually sufficient. It includes invoicing, Peppol, and other tools tailored to businesses that don’t charge VAT.

✅ Summary

Accountable is a simple and complete solution if you’re looking to:

  • Send or receive invoices via Peppol

  • Use a professional invoicing system, especially for public clients in Belgium

  • Track payments and stay compliant, without extra tools

You can focus solely on invoicing if that’s all you need. And if you ever want to explore more, additional features are available when you’re ready.
