Fix and understand common errors when registering on PEPPOL via Accountable

If you’re encountering issues while registering with PEPPOL, you’re not alone. Mistakes can happen, and luckily, they can be fixed. This guide walks you through some of the most common PEPPOL registration errors, including the "In Progress" status and "Data Does Not Match" error, and explains how to solve them quickly.

⚠️ You can register with PEPPOL through Accountable at any time. However, if you encounter errors during the registration process, use this guide to troubleshoot.

1. "Pending" status

This means your registration has been processed but hasn’t been finalized yet. Possible reasons include:

  • You haven’t completed the KYC process yet.

➡️ Start the verification process (again) in Accountable by navigating to 'Settings'> Peppol and following the steps. (NB: Make sure to take a picture of your document, not a screenshot or a picture of a picture)

  • The system is still verifying if you're already registered on PEPPOL via another access point.

➡️ If you’re already registered on PEPPOL through another platform (e.g., Odoo, Codabox, Winauditor, Octopus, etc.), you’ll need to remove your Peppol registration on that platform first. Once that's done, Accountable will become your unique access point to PEPPOL, and the "Pending" status will no longer block your registration and will move to "Active". It takes up to 24 hours for the Peppol registration to become active via Accountable after that.

The system will attempt to resolve this automatically within 7 days. If your registration is not removed from the other platform within 7 days, the 'Pending' status will automatically expire."

2. "Data does not match" error

This error occurs when the information you’ve entered for Peppol registration doesn’t match the official records in the Belgian company register (KBO) neither the data encoded in Accountable.

➡️ How to fix this ?

  1. Visit the official KBO company register here to look up your company number.

  2. Compare the information in the KBO register with what you’ve entered in your Accountable account.

  3. If there are any discrepancies, update your Accountable account to match the official details from the KBO.

3. How to check your PEPPOL registration status

Still unsure about the status of your PEPPOL registration? You can easily check it through the Peppol Directory - Search.

  1. Visit the PEPPOL Directory Search to see if your business is listed and active.

  2. Get your participant ID on the Peppol Directory Search

Visit the Peppol Practical (Peppol Helger) website to search with your participant ID with which access point you are registered on Peppol. (If you registered with Accountable, you will see "Storecove" a central hub, connecting companies with various e-invoicing networks)

Quick tips for a smooth PEPPOL registration:

  • Double-check your business details. Ensure the information you’ve entered in Accountable (and in the Peppol registration form) matches the official records of the KBO.

  • Keep track of where you’ve registered. If you’ve registered with a third-party provider, ensure you unsubscribe with them before registering on Peppol with Acountable. Note that if you have an accountant, your accountant could have registered you on Peppol via their accounting software.
