How do you choose the automatic numbering for your invoices?

Choose whether your new invoices should follow the highest number or your most recent document, and exclude your imported invoices from the numbering sequence.

Written by Cassie

Accountable automatically generates a number for each new invoice. You can choose how this number is calculated so that it always follows your own numbering system.

The two options

Option

How the number is calculated

Example

Highest number + 1 (recommended option; default)

The app takes the highest number among your documents and adds 1 to it.

Your highest number is 014: the next one will be 015.

Last invoice + 1

The app takes the number of the document with the most recent invoice date and adds 1 to it, even if a higher number already exists.

Your most recent invoice is number 012; the next one will be 013.

The “Last Invoice + 1” option is useful if you have documents with numbers that differ significantly from your usual numbering system,for example, order numbers from an e-commerce platform.

How to change the setting

On the web version:

  1. Go to Settings → Invoice Settings.

  2. Under “Automatic Invoice Numbering,” select the option that works for you. The change is saved immediately.

On the mobile app:

  1. Go to your invoice settings.

  2. Tap “Automatic Numbering,” then select the option that works for you.

This setting applies to both the web and mobile versions: a change made on one platform applies to the other as well.

Exclude imported invoices from automatic numbering

You can enable the option to exclude imported invoices. An invoice is considered imported if it was added as a PDF, uploaded via email, or created by your accountant.

Settings > Invoice settings

When this option is enabled:

  • Your imported invoices retain their numbers;

  • however, they are no longer used to determine the next number.

This is useful if a number you see on an imported document doesn’t follow your usual format. However, the app will never suggest a number that’s already been used on an imported invoice.

This option is turned off by default. Entries from the daily income log are always taken into account.

When creating an invoice

On the web version, the number is pre-filled based on the selected option. When you click on the number field, you’ll see up to three suggestions:

  • “Maximum” or “Last”: the number calculated based on the selected option;

  • the number calculated based on the other option;

  • “Other”: the number generated by ignoring your imported invoices (only if the exclusion option is disabled and if this number is different).

In the mobile app, a single number is pre-filled based on the selected option.

In both cases, you can always enter your own number. The app will notify you if it already exists.

Good to know

  • This applies only to new documents: existing numbers are never changed.

  • The same rule applies to your invoices, credit memos, income without invoices, and quotes, but each document type retains its own numbering system. A quote therefore never uses an invoice number.

  • Your format is preserved: prefixes, separators, and zeros are carried over (F-014/2026 becomes F-015/2026). If your number includes the year, the numbering resets to 001 on January 1 (2026-042 becomes 2027-001).

  • Drafts and invoices received via Peppol are not taken into account
