Create your first sales invoice (web app version)

Ready to send your first invoice? Here's everything you need to create it quickly from Accountable Web.

Before you start

To generate a valid invoice, Accountable needs a few details from you first : your IBAN, your address and your VAT number. Without these, your invoice won't be valid, and worse, you won't get paid 😉

So, make sure to fill these in your Account > Settings > Personal details.


Now, let's create your invoice step-by-step !

Step 1 : Go to 'Revenues' and click on the 'Create an invoice' button

This is where all your sales invoices and income appear.

Step 2: Select or create your client

Pick an existing client from your list, or create a new one by adding their name, address, VAT number, etc.

Step 3: Check the invoice number and dates

  • Invoice number: You can either let the app number it automatically, or enter it manually once in the format you prefer. After that, it increments automatically 🙂

    💡 Our tip : update your numbering at the start of each year (e.g. 2026-001, 2027-001) to keep things clear.

  • Issue date and due date

  • Service date, if your service covers a specific period → you can check our article How to create an invoice with a service period ?

Step 4: Double-check your personal details

Check if all your personal details are shown correctly. Otherwise, click on the section and fill in the right information and don’t forget to save the changes :

  • Your first name and last name

  • Your company name (if applicable)

  • Postal address

  • VAT number

Step 5: Add your items

  • Click on 'add a new item'

  • Select either an item registered previously in your price list, or 'Add a new item' :

    • Fill in the item name

    • Description (optional)

    • Category (sales of goods or services or any other income source like real estate rental, copyright revenue, donation,…)

    • Quantity

    • Unit price and VAT rate (pick the right one depending on your sector)

  • Click on 'Add item' and repeat for as many items as you need

    💡 Our tip: save an item to your Products & Services list to reuse it on future invoices without retyping it 😉

Step 6 : Add your banking and contact information

In the sections below, you can add/modify :

  • Your banking information (IBAN, BIC)

  • Your email address and/or phone number

  • Notes & comments (optional)

  • Terms & conditions (optional - if you add any, it will be automatically saved for your future invoices)

Step 7 (optional) : Customise more settings and personalise the style

Optional settings you can adjust if needed:

  • Switch the language of the invoice (English, French, Dutch)

  • Add a QR code for payment

  • Set a structured communication

  • Add a down payment → if you received a deposit before delivery, here’s more info on how to make a down payment invoice

  • Implement instalments → if you bill a project in several stages, here’s a step-by-step guide to use instalment invoices

  • Change the billing currency

  • Customise the look of your invoice: add your logo and your colours, choose the template and font

  • Specify the invoice status

Step 8 : Save and/or send your invoice

If your invoice is ready or if you want to save it for later, click the 'Continue' button (top right), and then click on :

  • Save & prepare to send’ to send it directly to your client via Accountable

  • or ‘Save & download PDF’ to save it and download it on your desktop

  • or ‘Save & quit’ if you want to save it for later and apply future modifications before sending

If you chose the option to send your invoice directly via Accountable :

  • Don't forget to switch on the green 'Send the invoice via Peppol' toggle, this is what actually sends your invoice through the Peppol network → ⚠️ An error message might appear if you're not registered on Peppol yet, and/or if your client isn't registered either → in that case, you won't be able to send your invoice via Peppol.

  • You can also modify the email description that is generated automatically by the AI

  • Make sure to type your client’s email address correctly

    💡 Our tip: sending a test invoice to yourself first is a great way to check everything looks right before sending it to a real client.
