What should I do first when I start using Accountable?

Here you will find the first steps to help you set up the app and your account correctly.

In this article, we will answer the following topics and questions:

  • General Settings (tax settings, tax numbers, start year)

  • Adjust income tax prepayments

  • How to add revenues and expenses

  • See your tax obligations

General settings

One of the first things we recommend to do is check your settings. This is the basis for ensuring that all your taxes are calculated correctly.

  1. Click on " account" at the bottom left

  2. Go to " settings"

  3. Select " taxes" in the settings

The first thing you need to do is select which figures you want to use to calculate your taxes. As a rule, the default settings will be selected here. We recommend extrapolation because the calculation is most accurate here.

When you register, Accountable assumes that the previous tax years have been completed. So if you still want to do your taxes for a previous year, you can choose the year right here.

The next step is particularly important, here you have to select your VAT status.

Are you....

  • Subject to VAT

  • Kleinunternehmer (Small business owner)

  • Exempt from VAT (due to your profession)

And last but not least you'll have to choose your VAT frequency (only if you are subject to VAT). This is important, so please check your registration letter from the Finanzamt or contact us if you are unsure.

Adjust income tax prepayments

Depending on your expected revenue, the Finanzamt might have set some income tax prepayments for you. If they do, they will inform you in a letter. If you did not receive any information (letter) about prepayments, you probably don't have to do any prepayments.

When does income tax have to be paid in advance?

Advance payments of income tax are only assessed if the tax burden in the previous assessment period amounted to at least EUR 400 and therefore at least EUR 100 would have to be paid in advance per quarter (Section 37 (5) sentence 1 EStG)

Once you have encoded all prepayments, you will get reminders for each prepayment in Accountable and the payment details for the bank transfer.

How to add revenues and expenses

There are several ways to add your revenues and expenses to Accountable.

Create a new invoice from scratch

You can create all your invoices directly in Accountable and send them directly to your customer. Here's an entire article about creating invoices.

Via Drag & Drop in Accountable Web

For your existing invoices:

1) Go to the revenue screen

2) Click on "import invoice"

3) Drag and drop your existing invoices and review them

For your expenses:

1) Go to the expenses screen

2) Click on "add expense"

3) Drag and drop them in the designated field and review them

Via email

You can also just forward your existing invoices and receipts directly via email.

Just send your revenue to umsatz@accountable.eu and your expenses to belege@accountable.eu.

The documents will create automatic revenue and expenses that you just need to review and confirm.

It is important that you send the emails only from the email address with which you are registered in Accountable. Otherwise, the email cannot be assigned to your account.

If you want to send the email from a different email address, you should set it as an "alias" under Settings > Personal Details.

Manually

Another option is to manually add your invoices and expenses directly in Accountable by clicking on either + Add Revenue in the revenue screen

or on + Create an expense manually in the expenses screen in the top right corner.

How can I see my tax obligations?

You can view your tax obligations at any time under "Taxes". If you don't see everything, click on "Show all" in the top right-hand corner.

If you start with Accountable, we assume that past obligations have been completed. If this is not the case, proceed as follows:

1) Click on the three dots at the top right of the declaration you want to unlock

2) Mark it as "not paid" and "not submitted"

Now you can edit and submit the tax declaration.
